Before setup: costs and selection
1. Choose what the assistant should handle
List the situations in which your team cannot answer. Decide whether you need help with unanswered calls, a busy line or calls outside opening hours. Agree what callers should expect from a callback.
2. Prepare your business profile
- Your business name, address and opening hours.
- The services you offer and the questions callers ask most often.
- Approved answers and topics that must go to a person.
- The details needed for a callback or appointment request.
- The team members responsible for follow-up and notifications.
3. Arrange forwarding and test it
Use the destination assigned to your business and the instructions for your provider. Check forwarding charges and keep the instructions for switching it off.
Call your normal number from another phone. Verify the greeting, try a routine question, leave a request and check that the dashboard and configured notifications receive it.
4. Keep the information current
Update holiday hours, services and approved answers when they change. Review early calls with your team and adjust the profile where callers need clearer information.
